The Council on Aging reviewed the recent Senior Expo and described it as successful while noting several operational lessons to apply next year. Mary Anne, who co-chaired the event, reported: "We had a total of 215 participants," saying that figure included "103 registered attendees, 92 vendors or speakers, and 20 volunteers."
The council also discussed the on-site vaccine clinic. A health department representative said the clinic recorded 41 vaccinations and outlined challenges confirming vaccine supply far enough in advance to advertise. "We will be adjusting the starting age because we'll have a different supply of vaccine that we could use in a different way," the health representative said, describing a plan to use reimbursements to create a revolving fund for future vaccine purchases. The representative added that state-supplied vaccines and privately purchased stock must be tracked separately for reimbursement and eligibility reasons.
Organizers and council members raised practical issues about the venue: vendors reported sunlight on laptop screens, limited electrical outlets and heat in the room. One member recommended re-examining whether to hold the expo in the gym next year (which would require protective floor covering) to improve flow and comfort. Members also noted an internal inconsistency in vendor reporting: while the event summary gave 92 vendors/speakers in the aggregate count, a separate remark listed 47 vendors present on the day; council members preserved both figures and asked staff to reconcile them in the written report.
On funding, the Rotary contributed about $5,000, and members discussed whether specific advertising buys—particularly a Spanish-language radio spot—delivered value for money. Several members suggested applying for community foundation grants to increase senior-related funding. The council announced a volunteer appreciation event on December 10, 4:30–6 p.m. at Sherburne Commons and agreed, by consensus, to plan to run the expo annually to maintain momentum.
Votes at a glance: the agenda and the motion to adjourn were approved by roll call (members present voted yes).
