Benjamin recommended approving Barnum at $110,000 (to include a 10% contingency) and Norton at $100,000. "If the 97 comes in at $103, I don't have to come back to the committee to request additional funding," Benjamin said, explaining the reasoning for the contingency.
Committee members debated whether to approve the base quote or the higher amount with contingency. Some members preferred approving the lower quoted number; project staff argued leaving the contingency in the moving line avoids repeated return requests for modest overruns and covers expected ancillary move costs such as technology programming and packing materials.
The motions to authorize the purchase orders were made and seconded. The committee approved the Barnum move funding at $110,000 and Norton at $100,000 by voice vote; the committee also discussed keeping the additional funds in the moving budget line to cover other move-related costs rather than reallocating them immediately.
