Parks staff told the committee that the town received two proposals in response to the event-management request for proposals (RFP) and 24 proposals for an asset-management RFP covering facilities, roadways and other town assets. Staff said they are currently grading responses and will return with an update at the next meeting.

Committee members asked whether RFP responses would be available to the committee prior to a vendor recommendation and whether submission materials would become public records; staff said the proposals will be graded internally and that selection materials typically become public when they are submitted to council for approval.

The asset-management program described in the RFP is intended to introduce a software and vendor service to manage work orders and inventory across town facilities and infrastructure; staff said the process will require substantial review because of the number of submissions.
