Johnson County Wastewater asked commissioners Tuesday to authorize multi‑vendor term-and-supply contracts for equipment repair and machine‑shop services, with staff recommending awards to four responsive bidders and reserving the electrical equipment portion for a separate procurement.
Susan Pekaric presented the procurement background: the invitation for bid was opened in September and five firms responded; four were determined to be responsive and responsible. Responding vendors included C&V Equipment (doing business as Douglas Pump Service), Fluid Equipment, JCI Industries and Van Kirk and Associates. The recommended contract authority amount is $3,350,000, derived from recent maintenance costs and inflation assumptions over the five‑year contract period.
Pekaric said many bidders did not provide pricing or capabilities for electrical equipment, so the electrical portion was removed from the recommended award and will be rebid as a separate procurement. That change reduced the contract authority requested for the current award.
Commissioners asked how staff will ensure value and continuity if only two vendors can perform particular services and if a vendor stops performing; Pekaric said staff would evaluate market availability, use the established rates from the term contracts for pricing certainty, and could re‑bid annually if necessary. Because the contracts are annual renewals, staff said they will monitor the vendor market and reissue solicitations as required.
The board placed the item on consent during the agenda review.
